AI Voice Agents
AI Voice Agents and Virtual Receptionists
A voice agent that answers incoming calls, handles routine questions from approved information, captures enquiries and shares out of hours information, so callers are not left with a ringing phone and no options.
AI voice agents
The same calm answer, every time it rings.
A voice agent handles the routine layer of a call: the questions you have already approved, the details you always need, and a clear record of what was asked. Press play to watch a sample conversation.

Scope note: this is a demonstration, not a live phone line. Advanced call routing, live calendar synchronisation and deep CRM integrations are not standard inclusions; what is possible depends on the platform selected, your requirements and a project-specific feasibility review.
Why it matters
The same questions, all day, every day
Every missed call is a person who wanted something simple: hours, availability, price range, a callback. Answering them should not consume your best hours.
Reception time is real time. When someone is quoting a job, serving a customer or finishing a site visit, an unanswered ring does not wait. Voicemail helps less than it used to: most callers who reach it simply try the next business on the list.
A voice agent covers the routine layer. Not every conversation, and not the ones that need your judgement: the repeatable ones with answers you have already agreed. Hours, availability, basic pricing, what the caller should prepare, capturing who called and what they wanted, and passing anything bigger to a person with the context attached.
Everything on this page is a silent demonstration: no audio, no real calls, no data capture. A working setup depends on the telephony platform selected and the scope we agree together.
What you get
What a voice engagement produces
A tested agent with a defined knowledge boundary, agreed scripts and a written handover.
- 01
Call flow design
Opening, question handling, escalation rules and closing, agreed before build.
- 02
Approved knowledge base
The exact information the agent may use, maintained in plain language.
- 03
Capture forms
What gets recorded per call: name, number, intent, requested next step.
- 04
Escalation paths
Defined behaviour for sensitive, complex or out-of-scope conversations.
- 05
Test scripts
Sample calls run before go-live: the routine, the awkward and the out-of-hours cases.
- 06
Summary handover
How it works, what it may answer, how to update answers and how to pause it.
Capability matrix
What is standard, what is scoped
Clear boundaries beat impressive demos. This is how we describe a typical engagement.
| Capability | Status | Notes |
|---|---|---|
| Answer incoming calls | Standard | Through the selected telephony or voice platform |
| Routine questions from approved information | Standard | Bound by the knowledge base you approve |
| Capture enquiries and contact details | Standard | Delivered to your agreed destination (email or sheet) |
| Out of hours information | Standard | With defined behaviour for urgent matters |
| Basic appointment or quote requests | Where supported | Depends on platform capabilities and your setup |
| Live calendar synchronisation | Scoped separately | Feasibility confirmed with your calendar platform |
| Deep CRM writes and advanced routing | Scoped separately | Not a default inclusion; depends on access and stack |
Implementation approach
How a voice project runs
- 01
Map the calls
We list what callers actually ask, what you are happy answering automatically, and what must always reach a person.
- 02
Write the boundary
Approved answers, escalation rules and capture fields are written down and reviewed by your team before any voice work begins.
- 03
Build and test
The agent is configured on the agreed platform and run against a test script covering normal, edge and out-of-hours calls.
- 04
Go live gently
Start with overflow or after-hours coverage, review real transcripts with your team, then widen the responsibility only when it has earned it.
Scope
Voice agent scope: capabilities and limits
- Includes call flow design, knowledge base setup, capture configuration, testing and handover.
- Covers routine questions from approved information, enquiry capture and out of hours information.
- Telephony, minutes and platform fees are held in your own account and are separate from our fee.
- Advanced routing, live calendar sync, CRM integrations and enterprise telephony features are scoped separately, depending on platform and feasibility.
- This website's call demonstration is simulated, silent, and connects to nothing.
Voice technology is good, not magic. The difference between a helpful agent and an annoying one is the quality of the boundary around it, which is exactly what the scoping work defines.
Does the voice agent replace our phone system?
No. It sits on top of the call flow you already have, usually through a platform that forwards or answers calls. Your existing numbers and phone setup stay in place.
What can it answer confidently?
Questions from information you approve: opening hours, services, pricing basics, locations, what to bring, what happens next. Anything outside that material routes to a person or a callback instead of guessing.
Can it book directly into our calendar?
Basic appointment or quote requests can be captured where the selected platform supports it. Live calendar synchronisation is not a standard inclusion and depends on your stack, access and what we confirm as feasible during scoping.
What happens on complex or sensitive calls?
The agent hands off: it takes the details, promises a callback from a person, or passes the call through if your setup supports live transfer. Escalation behaviour is agreed with you before anything goes live.
